We, 100 Women in Finance (“100WF”) are committed to protecting the privacy of all individuals who utilize our website or services. Please read the following statement of our privacy policy (“Privacy Statement”) to understand how we collect, use and safeguard the information you may provide to us. This Privacy Statement may be revised from time to time, so please revisit this page often to remain fully informed of our policies.

If you do not agree to the terms of this Privacy Statement, please do not submit any information via our website, the Questionnaires or the Job Board.

How we collect your personal information

We may collect personal information about you through your completion of forms on the website or via surveys.  We may also collect information about your visits to this website through use of internet “cookies” (an information collecting device from a web server) as described further below.

The data we collect includes the following types of personal information: name, contact details, employment and education history and details, and in some circumstances, special categories of data, such as information relating to dietary preferences and ethnicity.

Why we collect your personal information

We may use such personal information for the purposes of administering the relationship between us, processing payments, marketing of products and services to you or the businesses with which you are associated, providing services to you or the businesses you are associated with, monitoring and analyzing our activities, and complying with any legal or regulatory requirements.

We will use one of the permitted grounds under the applicable law to process your information. Such grounds include instances where you have given your consent and cases where your consent is not required under applicable law, such as where we are required to comply with a legal obligation, or where we or a third party determine that is necessary for our legitimate interests to collect and use your personal information.

The legitimate interests to collect your personal information may include any of the purposes identified above and any other purpose where we or a third party have determined that you have a reasonable expectation for us or a third party to collect or use your personal information for such purpose. You have the right to object to the use of your personal data for direct marketing purposes.

Processing of personal information in countries outside the EEA

Please note that the personal data we hold about you or individuals associated with you, or your guests at our events (including fundraising events) is processed and stored in the United States and we may transfer the data to any country, including countries outside the European Economic Area, for any of the purposes described above. Countries outside of the EEA, such as the United States and other countries may not have the same level of data protection as that afforded by the EU General Data Protection Regulation (“GDPR”). In these circumstances, we take steps to ensure that the recipient agrees to keep your information confidential and that it is held securely in accordance with the requirements of GDPR, such as by requesting appropriate contractual undertakings in our legal agreements with service providers.

How we may share your personal information

We may disclose any personal information if we are required to, requested by or permitted to do so by a court of law, by any governmental or law enforcement agency, including the police, or in connection with legal proceedings or where required by our website internet service provider. We may also disclose any personal information if we determine it is necessary or desirable to comply with any law or to protect or defend our rights or property.

Use of cookies

Such text files and images are used for technical convenience to store information on your computer. For instance, we may use a session cookie to store form information that you have entered so that you do not have to enter such information again. Keeping your personal information and security measures

You may view and update the personal information we hold about you by logging into your member profile via the website.  We will not check the accuracy of the information you submit or keep this information updated and are not under any obligation to keep your information. It is your responsibility to check, correct and keep updated the information we hold about you by logging into your member profile from time to time.

We will generally keep personal information about you for as long as necessary in relation to the purpose for which it was collected, or for such longer period if required under applicable law or necessary for the purposes of our other legitimate interests.

The applicable retention period will depend on various factors, such as any legal obligation to which we or our service providers are subject as well as on whether you decide to exercise your right to request the deletion of your information from our systems. In general as a minimum, information about you will be retained for the entire duration of your membership, and for a minimum period of five years after the termination of your membership.

We will, from time to time, review the purpose for which we have collected information about you and decide whether to retain it, update it, or securely delete it, if the information is no longer required.

Although we will do our best to protect your personal information, we cannot guarantee the security of your data transmitted through this website. Any transmission of data is at your own risk.

Your rights

You may have certain rights under the GDPR in respect of the personal data we hold about you and which you may exercise. These rights are:

  • to request access to your information;
  • to request rectification of inaccurate or incomplete information;
  • to request erasure of your information (a “right to be forgotten”);

ADDITIONAL TERMS FOR THE NON-PROFIT BOARD QUESTIONNAIRE, THE FOR PROFIT/CORPORATE BOARD QUESTIONNAIRE (EACH A “QUESTIONNAIRE”) AND THE JOB BOARD

You may submit certain information via the Questionnaires or the Job Board to request information regarding, and to be considered for positions including on various boards of directors or trustees of third party corporations and/or other for-profit organizations and/or non-profit organizations. If you choose to submit information through the Questionnaires or the Job Board, we request that you provide us information concerning your prior board and other experience and any other information you choose to provide in the text fields of the Questionnaires or Job Board forms. In addition, we will retrieve certain of your personally identifiable information directly from your 100WF member profile to populate portions of the Questionnaires or Job Board forms and/or in the case of the Questionnaires to submit to third party headhunters, corporations and/or other for-profit organizations or non-profit organizations, including, your first and last names, email address, employer name, years of experience, business title, and city and country of residence.

We will share the information we collect from you via the Questionnaires with one or more corporations and/or other for-profit organizations and/or non-profit organizations interested in expanding their boards of directors or trustees, as well as headhunters providing services in connection therewith, for the purpose of connecting you with such headhunters, corporations and/or other for-profit organizations (i) to allow such parties to provide you with information regarding such corporations and/or other for-profit organizations and/or non-profit organizations and their boards of directors or trustees, and (ii) to allow you to be considered for positions on such boards.

Any information posted on the Job Board may be searchable by members of 100WF.

You may unsubscribe from this service at any time by logging into your 100WF profile at https://100women.org/pages/login.php, clicking on Corporate Boards or Non-Profit Boards, and clicking on the “No” response button to the question “Subscribe/Opt-In to future corporate/private/non-profit board searches?” Please note that while we will remove your information from our Questionnaire databases upon your unsubscribing from this service, unsubscribing will not remove your information from the databases of those third party headhunters, corporations or other for-profit organizations or non-profit organizations with which we have already shared such information. You will need to contact any and all such parties directly to be removed from their respective databases.

Our for profit/corporate/non-profit boards service is provided strictly as a courtesy to the members of 100WF.

We are not necessarily knowledgeable about any third party headhunters, corporations or other for-profit or non-profit organizations with which we may share the information in your Questionnaires or provided via the Job Board. We do not participate in any communications that may occur between you and any such headhunters, corporations or other for-profit or non-profit organizations. As such, we have no control over the accuracy, reliability or completeness of any information regarding the subject corporation or other for-profit or non-profit organization or its board membership you may receive as a result of such communications, and we make no representations whatsoever with respect to any such information, or any headhunters, corporations or other for-profit or non-profit organizations with which we may share your Questionnaires or Job Board information.

Under no circumstances should we be deemed to recommend, sponsor or endorse or make any representation or warranty whatsoever with respect to any headhunter, corporation or other for-profit or non-profit organization or the nature of any board or its members, nor do we make any guarantee that any corporation or other for-profit or non-profit organization will contact you, consider you for board membership, elect or approve you to its board or compensate you for any such board membership.

It is your responsibility to educate yourself regarding the reputation, character, integrity and financial health of each such corporation and/or other for-profit or non-profit organization prior to joining any such board. In addition, we do not control, nor are we responsible for, the privacy policies or information practices of such third party headhunters, corporations and/or other for-profit or non-profit organizations with which we may share your information.

You assume all risks associated with any communications and/or business relationship between you and any head-hunter, corporation and/or other for-profit or non-profit organization with which you are connected via this service, including with regard to any false or misleading representations that may be made by such parties. You hereby release us from, and agree to indemnify and hold us harmless from and against, any and all claims, demands, liabilities, losses and/or damages of any nature whatsoever, arising out of or in connection with any dispute you may have with any such headhunter, corporation and/or other for-profit or non-profit organization relating to any representations made, any Questionnaire or Job Board information we provide to such parties and/or any communications and/or business relationship between you and such parties.
